Home and reports

See today at a glance on Home, then use Reports for any period's visits, busiest times and hosts, and export lists and reports to CSV, Excel or PDF.

Early access· P3For receptionists, security leads, admins and hosts

Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.

Two places in the Console answer "how busy are we?". Home shows today, as it happens. Reports covers any period you choose, and every list and report can be downloaded.

Home: today

Home refreshes itself every 30 seconds. With more than one site, choose a site at the top, or leave it on every site.

  • On site now, with how many are waiting for their host to say yes.
  • Still expected today, and how many are running late.
  • Arrived today, and how many have left.
  • Waiting for their host, with a typical wait today.
  • Arrivals today by hour, in gold, against a dashed line for a typical day: the same weekday's average over the four weeks before.
  • Coming up: the next visitors expected, with their time.
  • Latest: arrivals, check-ins and decisions over the last day.

Under each number, a small line shows its trend: on site through the day so far, and the other three over the last two weeks (invited visitors due each day, arrivals each day, and each day's typical wait). Point at the line to read a day or an hour.

Visits on hold for a security review, and visitors still on site after their expected time, are listed above the chart when there are any.

Hosts see the same page for their own visitors only, and can export their own visits from Visitors → History.

Reports: any period

Console → Reports is for everyone who sees every visit at their sites: Owners, Admins, site admins, receptionists, security leads, guards and auditors. A site-limited role's report covers its own sites. Choose a period (the last 7, 30 or 90 days, this month, last month, this year, or your own dates), and narrow it to a site or a visitor type. The address keeps your choices, so you can bookmark a report or send the link to a colleague who has access.

NumberWhat it counts
VisitsCheck-ins in the period, with how many walked in and how many were invited
Different visitorsPeople who checked in at least once
Didn't arriveExpected visitors who never came, and their share of everyone expected
Arrived on timeInvited visitors with a time who arrived no more than 15 minutes after it
A typical visitThe middle visit length, from check-in to check-out
A typical waitThe middle wait, from arriving at the desk or kiosk to being let in
Hosts answered inThe middle time a host took to approve or decline, when a visit needed their approval
Turned awayVisits a host or security said no to, and how many were cancelled

Visits, visitors and no-shows also compare with the period of the same length just before, in words and an arrow. Each number also has a small line across the period, one point a day, week or month (as the chart below), so you can see when it changed; point at it to read one.

Below the numbers:

  • Visits each day, week or month: days up to three months, weeks up to 18 months, months beyond.
  • Busiest times: check-ins by day of the week and hour, on each site's own clock. Darker means busier; point at a square, or move to it with the keyboard, to see its count.
  • By visitor type, by site, how visitors checked in, the hosts with the most visitors, departments, and the companies visiting most.
  • QR code scans in the same period, if you make or see QR codes: how many scans, how many people (each counted once a day) and the codes scanned most. Everyone with QR access sees every tracked code; others see their own.

A visit counts in the period it happened: when the visitor checked in, or when they were expected if they didn't come.

A report covers the visitor history your plan shows. If the period starts earlier, the report starts at the beginning of your plan's history and says so. See Plans and limits.

Console → WatchlistCSV, Excel, PDFEach entry in force: name, phone, reason, sites, expiry, who added it. ID numbers are never in it: Agoo never has them
Console → QR codesCSV, Excel, PDFEach code as filtered: what it does and is about, its link, status and scans
  • Masking follows the person exporting. Answers marked as protected only reach roles allowed to see them, in a file as on screen. Sensitive answers never leave Agoo in an export, and ID numbers show only their last four characters.
  • Files are safe to open. A spreadsheet cell that starts like a formula is written as text, so a visitor's answer can't run in Excel.
  • Size. A CSV or Excel file holds up to 50,000 visits, and a PDF up to 2,000. For more, choose a shorter period or add a filter.
  • Every export is recorded in the audit trail: who exported what, in which format and how many rows, never what was in it.

To take every record Agoo keeps for your organisation, including those hidden by your plan's history, request a full organisation export.
