Digitise paper logbooks
Photograph the pages of your old visitor books and import them into Agoo as searchable visits, after you've checked them.
Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.
Most front desks have years of handwritten visitor books on a shelf. Nobody can search them, and they're easy to lose. Agoo AI reads photographed pages, turns each line into a visit, and flags anything it isn't sure about for a person to check before anything is saved.
Before you start
- Agoo AI must be on. See Agoo AI.
- Credits. Reading pages uses AI credits. For a large backlog, check your allowance and buy an AI pack first. See Wallet and credits.
- Decide what to import. Old logbooks hold personal data. Import only what you have a reason to keep, and remember that people in the books didn't know their details would become searchable. Imported visits are visitor data like any other, so your retention settings apply to them.
Import a logbook
Photograph the pages
Use any phone. Lay the book flat in good light, fill the frame with one page, and avoid shadows across the writing. One photo per page.
Upload them
In Console → Visitors → Import, choose Paper logbook, pick the site the book belongs to, and upload the photos. You can upload many pages at once; Agoo reads them in the background and lets you know when they're ready.
Review the table
Each line in the book becomes a row: date, name, phone, company, who they came to see, purpose, and time in and out. Rows Agoo isn't sure about are highlighted, with the original handwriting shown beside them. Correct any mistakes, and delete rows you don't want to keep.
Import
When you're happy, choose Import. The rows become past visits at that site, marked as imported from a logbook. Nothing is saved until you do this.
After the import
- Search and report. Imported visits appear in Console → Visitors and in reports, and you can ask Agoo about them.
- The original stays with it. Each imported visit keeps a link to the photo of the page it came from, so you can always check the source.
Handwriting is hard
Even careful handwriting gets misread sometimes, especially names and phone numbers. That's why nothing is imported without a person reviewing it. If a page is very faint or damaged, type its entries by hand instead.
ID and document scan
Point the kiosk at a Ghana Card, passport or other ID and let Agoo fill in the check-in form, with numbers masked and images deleted on your schedule.
