Meeting types

Create booking types for one host or a whole team, in person, by video, by phone or at the guest's location, with durations, buffers, limits and questions.

Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.

A booking type describes one kind of meeting people can book: how long it is, where it happens, who hosts it and what you need to know beforehand. A host might have three: "15-minute call", "30-minute account review" and "Site visit". Create and edit them in Console → Bookings → Booking types. Hosts can manage their own in the Workspace app under Bookings.

Routing forms, which ask a question first ("Which service do you need?") and send the guest to the right team, also arrive in P9.

Where you meet

A booking type can offer one or more of these. The guest chooses when they book.

Create a booking type

Name and describe it

Go to Console → Bookings → Booking types → New booking type. Give it a clear name ("30-minute account review") and a one-line description the guest will read. Choose the host, or the team for round-robin and collective types.

Choose duration and locations

Pick the duration: one length, or several the guest can choose from (for example 15, 30 or 60 minutes). Choose the locations from the table above.

Ask your questions

Add the questions you need answered before the meeting: "What would you like to discuss?", "Account number (last 4 digits)", "How many people are coming?". Questions can be text, choices, dates, numbers or file uploads, and can be required or optional.

For in-person types, choose the visitor type the booking should create (for example Meeting). The guest's answers fill in that visitor type's form, so they don't repeat themselves at the kiosk.

Choose messages and save

Choose which channels confirmations and reminders use, and when reminders go. See Reminders and no-shows. Select Save. The booking type appears on the host's or team's booking page straight away.

Only ask what you need

Booking pages are public. Don't ask for ID numbers, health details or other sensitive information there. Collect what you must in person, or through the visitor's form at check-in, where your ID masking and retention rules apply.

Bookings that need confirmation

Turn on Requires confirmation when the host should look at each booking before it's fixed, for example for first-time clients or long consultations. Arrives with booking pages in P4.

  1. The guest books as usual. The booking is a request: the guest is told their request was received and that the host will confirm it.
  2. The request holds the slot, so nobody else can book that time while the host decides.
  3. The host is asked to Confirm or Decline, in the Workspace app, in Console → Bookings → Requests, or from the link in the message Agoo sends them.
  4. When the host confirms, the guest gets the usual confirmation, reminders are scheduled and, for in-person meetings, the expected visit and QR pass are created.
  5. When the host declines, the slot is free again and the guest is told the request wasn't accepted. The host can add a reason for your records; the guest sees it only if the host chooses to share it.
  6. If the host doesn't answer within the confirmation window (24 hours unless you change it), or before the meeting would start, the request expires: the slot is freed and the guest is told it couldn't be confirmed.

The guest can cancel a request from their link while it waits. Requests appear in a separate Requests list in the calendar, so they're easy to find.
