Availability and calendars
Set working hours, days off and holidays for booking pages, see every booking on one calendar, and connect Google or Microsoft 365.
Agoo is in early access. This page describes the feature as it ships to early-access organisations; screens are illustrative.
Your availability decides which times appear on your booking page. Agoo starts from your site's opening hours, removes Ghana's public holidays, and takes away anything you've already booked. You then adjust it to fit how you really work.
Set your working hours
Open your availability
In the Workspace app, go to Me → Availability. Admins can set anyone's availability in Console → Bookings → Availability.
Set your weekly hours
For each day, set the hours you take bookings. You can have more than one range in a day, for example 9:00 am to 12:30 pm and 2:00 pm to 4:30 pm, leaving lunch and your own work free. Turn a day off entirely if you don't take bookings then.
Add date overrides
Use Date overrides for days that differ from the usual week: a day of leave, a training day, or a Saturday you'll work. Overrides win over your weekly hours.
Booking types can narrow these hours further, for example offering site visits only on Tuesday and Thursday afternoons.
Public holidays
Ghana's public holidays are built in. On those days, your booking page shows no slots, without you doing anything. If you do work on a holiday, add a date override for it.
Time zones
Your availability is in your site's time zone (Africa/Accra for sites in Ghana). People booking from elsewhere, such as a partner in Lagos or London, see the slots in their own time zone, and their confirmation shows both.
See every booking in one place
Console → Bookings → Calendar shows bookings by day, week or month, coloured by where the meeting happens. Hosts see their own; receptionists and admins can see everyone's at their sites. Bookings that need confirmation wait in Requests, holding their slot, until the host confirms or declines them or they expire.
Hosts see the same calendar in the Workspace app under Bookings.
Connect Google Calendar or Microsoft 365
Calendar sync is included from Starter and arrives in P9. When you connect your work calendar:
| Direction | What happens |
|---|---|
| Your calendar → Agoo | Busy times in your calendar are removed from your booking page, so nobody books you during the board meeting. |
| Agoo → your calendar | Every booking is added to your calendar, and moved or removed if it's rescheduled or cancelled. |
| Meetings → visits | A meeting in your calendar at one of your sites, with outside guests, creates expected visits for those guests. |
To connect, go to Me → Calendars in the Workspace app (or Console → Bookings → Calendars), choose Google or Microsoft 365, and sign in to allow access. Agoo uses only what it needs: when you're busy, the events it creates itself, and for meetings at one of your sites, the outside guests' names and contact details.
Until calendar sync arrives
Before P9, every confirmation includes a calendar file (an .ics attachment or link) for the host and the guest, which works with Google Calendar, Outlook and Apple Calendar. Agoo already prevents double booking across your Agoo bookings. Block out personal commitments with date overrides.
Meeting types
Create booking types for one host or a whole team, in person, by video, by phone or at the guest's location, with durations, buffers, limits and questions.
Reminders and no-shows
Send confirmations and reminders by SMS, WhatsApp or email, let guests reschedule or cancel with a link, and track no-shows. In-person bookings become expected visits.
